Tasks
Organize work, collaborate, and manage orders using visual task boards.
Overview
Tasks are a visual way to organize and manage work.
They allow you and your team to break down work into small, clear steps and easily see what needs to be done, what is in progress, and what is finished.
Tasks are especially useful for collaboration, planning, and keeping track of work related to orders.
How Tasks Are Structured
Tasks consist of three main elements:
Boards
A Board is the main workspace, think of it as a shared area where related work lives, for example:
- Daily work
- Installation planning
- Follow-ups
- Internal improvements
Columns
Each board contains Columns, which represent stages of work, such as:
- To do
- In progress
- Waiting
- Done
Tasks are moved between columns as work progresses.
Tasks
Tasks are the individual items of work, they can represent anything from a simple reminder to a concrete step in an order process.
Task Types
A task can be:
A Normal Task
- Has a title and description
- Used for general work or reminders
An Order Task
- Connected to an Order
- Allows you to:
- View order information directly in the task
- Update certain order details without leaving the task
An order can be connected to any number of tasks, making it easy to track complex work step by step.
Columns & Order Status
Columns can optionally be configured to represent an order status.
When this is enabled, dragging an order task into a column will automatically update the order’s status
This only applies to tasks that are connected to an order.
Creating & Managing Boards
- Any user with the roles ADMIN or USER (read more on Users) can create a board
- The user who creates the board becomes the owner
Restricted vs Public Boards
By default, a new board is restricted.
You can manage board settings by:
- Right-clicking the board in the left-side navigation
- Changing the board name
- Updating board settings
You can make a board public, which allows all users to:
- View the board
- Create, update, and move tasks
Sharing Boards
As the owner of a restricted board, you can share it with other users.
You can grant two levels of access:
Board Access
Users can:
- Move tasks
- Create and delete tasks
- Update tasks and columns
Board Access for Installers and Partners
Users with the roles INSTALLER or PARTNER (read more in Users) do not have automatic access to boards.
They can only access boards that are:
- Explicitly shared with them
- Restricted boards where they have been granted access by the board owner
This means:
- They cannot see public boards unless explicitly shared
- They cannot create boards
- Their access is fully controlled by the board owner
This ensures that external users and field workers only see the work that is directly relevant to them.
Board Admin Access
Includes everything above, plus:
- Giving other users access to the board
- Managing board permissions
This makes it easy to collaborate while still keeping control when needed.
